Protecting your record: a political candidate personal reputation management plan

Say you chaired a local foundation a few years back, and now you're thinking about running for city council. One evening a friend texts you a screenshot of a Facebook comment: "Her old charity doesn't even have a transparency rating anymore. What is she hiding?" You know the books were clean. But when you look up the foundation on Candid, the Seal you were proud of is gone.

Nothing was hidden. Someone just stopped updating the profile. On Candid, a Seal of Transparency expires two years after the last time changes were published, so a profile can lapse even when the organization is doing everything right. Candid: Seal of Transparency expiration

So before you file, I'd start with the records people can look up about you, and I'd start with anything that carries your name and a date.

A checklist for your nonprofit profile before you file

  1. Log in to Candid, or create an account if you don't have one, and claim your organization's profile if you haven't already. Candid: Update your profile
  2. Go to My organizations and select the organization's name to open its profile. At the bottom of the page, check the "Last update" date. That is the last time the profile was updated and published. Candid: Seal of Transparency expiration
  3. Back in My organizations, select Edit next to the organization to open the profile editor. Candid: Update your profile
  4. Select See all required fields for the Seal level you want, and fill them in. There is no separate application. Candid awards the Seal as soon as the required fields are complete. Candid: Update your profile
  5. Select Publish updates. Your changes show on the public profile within 10 to 15 minutes. If you aren't ready yet, Save draft lets you come back later. Candid: Update your profile
  6. Create a Candid account for a shared address, like info@ your organization's domain, and use the claim process to make it a manager. Candid names outdated profile managers as the most common reason profiles expire. Candid: Seal of Transparency expiration

The rest of your public record

Candid is one piece. I'd also sit down for an hour and search your own name the way a stranger would. Look at old posts, old bios, and any board or staff page that still lists you. Write down anything that's out of date, and anything that could be read the wrong way without its context. Keep that list somewhere handy. For each item, decide whether you'll update it, add some context, or leave it as it is.

If your family is comfortable with it, have a quick talk with them about privacy settings too. I'd rather you have that conversation now, on your own schedule.

A worked example of a transparency reply

Picture a post like this one:

The nonprofit this candidate ran let its Candid Seal of Transparency expire. The profile hasn't been updated in more than two years. If they couldn't keep the basic paperwork current for their own charity, why should we trust them with the city budget? We need leaders who are open about where the money goes.

Fix the profile first. Then, once your update is published and you've checked it on the public page, a reply could look like this:

Thank you for raising this. You're right that our Seal lapsed, and that's on us. A Seal expires two years after the last published update, and we let ours go past that date. Anyone can see when our profile was last updated by checking the "Last update" date at the bottom of the page. If you have questions about our budget or past filings, please call me at [office phone]. I'd be glad to walk you through them.

If you're tempted to ask for a post like that to be taken down instead, know that whether a platform removes a review depends on whether it breaks that platform's own content policy. Only post a reply like that once every part of it is true. Keep it short: own the lapse in one sentence, and point to something people can check for themselves.

What people miss about the two-year clock

The two years start from the last published update, not from your fiscal year, your audit, or the day you announce. If your last update went out 23 months ago, your Seal could expire in the middle of your campaign. Candid: Seal of Transparency expiration

When a Seal expires, the organization also loses its shareable full profile link, its eligibility for Apple Pay donations, its outreach toolkit and its Dynamic Seal web widget. Candid: Seal of Transparency expiration Candid recommends reviewing and updating the profile every year. I'd put a reminder on your calendar now rather than wait for a campaign date to remind you.
